A birthday is a rare chance to have different parts of your life in one room. The photo booth gives those people an easy way to get a picture together, whether they have known each other for years or only met at the drinks table.

For a Geelong party, start with the venue and the shape of the night. A two-hour afternoon gathering needs a different plan from a 21st with speeches halfway through. Choose the busiest useful part of the party

Think about when guests will be together and free to take photos. Arrivals can be spread out, food may interrupt the early part of the evening, and speeches can bring everything to a pause. The best starting time is usually one that gives the booth a clear stretch of social time.

For a family party, opening early can help include people who won't stay late. At a 21st, you may want the booth to run either side of speeches so the birthday person can enjoy it with several groups. If the venue closes at a fixed time, work backwards from that deadline.

Don't rely on the option to extend on the night. Extra time can be arranged where possible at $110 per hour, but the venue and our schedule need to allow it. If you already expect the party to run longer, put that in the enquiry.

What is included in a birthday package?

Travel is free within 15 km of central Geelong. Beyond that, we quote travel after you send the venue address. If you're still choosing between a function room and a home party, include both locations in your enquiry so the practical differences can be discussed.

Planning a 21st birthday

A 21st often has a loose early schedule followed by a more formal set of speeches. Give the booth enough time around those formalities so people don't feel they have to choose between listening and getting a print. An announcement once speeches finish can remind guests it is open.

Make time for a few family pictures before the older relatives leave, then let friends use the booth as the night unfolds. The birthday person will be pulled in several directions, so a friend who knows the group can help gather people when there's a quiet moment.

Planning a 50th or another family milestone

At a 50th, different generations may arrive and leave at different times. Check when the family photos should happen and place the booth session accordingly. You can keep the later part of the night for friends without leaving the earlier guests out.

A small list of groupings can help if certain photos matter to you: siblings together, the birthday person with their children, or a group of old friends who are rarely in the same city. Hand that list to someone who recognises everyone. The attendant can help arrange the photo once the group is there.

Making a home party work

A home can be a good party setting if there is a suitable place for the booth. Allow roughly 3 m by 3 m plus room for people moving around it. Check the route from the unloading point to the setup area, including gates, steps and anything that makes the access narrow.

For a garden celebration, discuss a dry, sheltered position and a backup if the weather changes. The booth needs a standard power point and an appropriate operating area. A location that feels comfortable for guests isn't automatically suitable for electrical equipment and printing, so send photos and measurements before committing to it.

Keep the booth away from busy food and drink preparation. It needs a place where guests can set down drinks before stepping in and where people collecting prints won't block the path through the house. The space and setup guide has the questions to check during planning.

Using a function room or hired hall

Ask the venue when suppliers can enter, where they can unload and whether the booth can remain in one position for the whole event. Some rooms are rearranged between food service and dancing. Show the coordinator the proposed footprint so they can place it alongside the bar, tables and entertainment.

Choose a location people will notice. Near the main room can work well, provided the queue has somewhere to go. A booth hidden behind a closed door needs a clear announcement or sign. Avoid assuming guests will explore the venue to find it.

If the room includes a dance floor, leave room for both activities. People waiting for their strip should be able to step away without walking through the dancing or interrupting a speaker. Once the venue signs off on the layout, send us the same version.

Choose a backdrop that leaves room for people

There are 15 backdrops to choose from, all included in the hire price. Gold Sequin and Silver Sequin suit a celebratory look. Plain White gives colourful clothes and props plenty of space. Black Gold Lines can work with a darker evening theme, while Neon brings more colour into the background.

Look at the actual backdrop picture before deciding. A busy pattern behind a large group can look very different from the same pattern behind two people. If guests have been asked to wear a particular colour, check that against the backdrop too.

The printed strip can tie it together with the host's name and event date. Check spelling, especially if a nickname is going on the print, and ask one person to approve the final design so the booth team receives a clear decision.

Help people use the booth without making it an obligation

A short welcome announcement can cover where the booth is and when it closes. After that, give people room to choose their own photos. Seeing another group collect a strip is often enough to prompt the next visit.

If you want an album, prepare a table with a book and suitable adhesive and ask guests to add a strip and a message. Make that an invitation. Some people will prefer to take their print home, and you will still receive a digital gallery after the event.

For younger guests, keep an adult nearby and make sure children know where to wait. For guests with mobility needs, discuss access and a comfortable photo position before the party. Small arrangements made early are easier than trying to change the layout once everyone has arrived.

What to send with your enquiry

Have the date, venue address, approximate guest count and likely booth hours ready. Include the occasion, your preferred backdrop and any access issues you already know about. If the party is a surprise, explain who should receive correspondence and who will be at the venue to meet the attendant.

We confirm availability and a final quote before the booking is secured. A 25% deposit confirms the booking, and the balance is due one week before the party. Your invoice includes the bank transfer details, and the booking contract records the agreed event details.
