A work event gives a photo booth a fairly specific job. At a staff party, it may be a reason for colleagues to relax together. At a conference, it can be a short activity between sessions. At a launch, the printed strip can carry the event identity home with guests.

Write a short event brief first
The useful details are the event date, venue, guest profile, expected attendance and agenda. Add one sentence explaining the purpose of the booth. "Give staff a photo with their team" is a practical brief. "Give conference delegates a branded print during the networking reception" is another.
Be specific about the operating window. A conference running all day may only need the booth during scheduled breaks and an evening event. A staff party may need a continuous period after dinner. Share the agenda so the quote reflects the time and access arrangements you actually need.
Nominate a person who can approve the quote and a person who can approve the artwork. They may be different people. A venue contact and an organiser's contact on the day are useful too. Our copy-and-use event brief brings those details together.
Choose a package around the agenda
Geelong Booth Co. packages start at $449 for two hours. Three hours is $559, four hours $669, five hours $779 and six hours $889. Each includes the timber booth, an attendant, unlimited live prints, props, digital sharing and a personalised strip. Your choice of backdrop, setup and pack-down are included as well.
Extra time is $110 per hour, subject to availability. For a multi-day activation or a schedule with long gaps, ask for a tailored quote. Don't assume that booking a certain number of operating hours covers a full day of venue access or an extended split schedule.
Travel is free within 15 km of central Geelong. We quote travel beyond that after receiving the venue address. The confirmed quote sets out the total, including any agreed custom production. Current standard options are on our pricing page.
Brand the photo strip with a clear hierarchy
A personalised strip with event text, colours and fonts is included. For a company logo and a design created from scratch, the optional Branded Photo Strip is $50. We use the approved logo, brand colours and event messaging, and you review the design before the event.
The photos still need room to be seen. Choose the most important identifier, usually the host logo or event name, then keep supporting text short. Several sponsor logos and a long campaign line can be difficult to read on a small print. If sponsors have specific requirements, send them before the first design is prepared.
Supply the cleanest logo file you have, along with any rules about colours, clear space and acceptable variations. A screenshot from a presentation is rarely the easiest starting point. Confirm the exact event name and date in writing so the designer doesn't need to infer them from an old flyer.

Place the booth where the activity belongs
Allow roughly 3 m by 3 m for the setup, access to a standard power point and space for a queue. Give the venue coordinator a floor plan that includes the booth alongside registration, catering, sponsor stands and presentation areas.
At a staff celebration, the booth can sit near the social part of the room without crowding the dance floor. At a conference, it should be convenient during the breaks you intend it to serve. Avoid placing a queue where it could restrict access to a session room or compete with a coffee queue.
If the booth is part of a sponsor area, agree who is responsible for signage and where promotional staff will stand. Too many people trying to talk to the same guest can slow the activity. A simple handover between the booth attendant and event staff is easier for everyone.
For public or outdoor activations, discuss shelter, power, site access and the event's weather arrangements before confirming the setup. Photos of the proposed space and a marked floor plan will help more than a description of the overall venue.
Plan for bursts of demand
Conferences tend to release people in groups. If a break is short, guests may need to choose between refreshments, conversations and the booth. Spread the opportunity across several breaks where possible and avoid relying on a single narrow window to serve everybody.
The number of sessions possible depends on how people use the booth. A couple who know the pose they want move differently from a large group deciding on props. It is better to discuss guest volume and timing than to promise that every attendee will receive a photo during a ten-minute break.
The attendant helps guests and manages the booth, while the organiser controls the wider event schedule. Tell the MC or session host when the booth opens and closes so announcements match the booked hours. The conference planning guide goes into placement and session timing.
Make participation comfortable
A photo booth should be easy to join and easy to decline. People may have different preferences about being photographed, appearing with colleagues or having images shared outside the event. Explain what will happen to photos in language guests can understand.
Some will enjoy props and group poses. Others may want a straightforward picture with their team. Choose props that fit the organisation and the occasion, and let guests decide how playful to be. A senior manager's enthusiasm doesn't need to turn the booth into a compulsory group exercise.
Ask about access requirements when planning the floor layout. Keep the route clear and discuss any need for seated photos or adjustments before the event. The same care applies to a staff party in a small function room and a larger industry event.
Agree any email capture before the day
Optional email capture can be discussed for an activation, including the practical setup, consent wording and agreed data handover. It needs to be part of the brief, with someone in your organisation responsible for deciding how the information will be used.
Receiving a digital photo and agreeing to future marketing serve different purposes. Make those choices clear to guests. Our normal booking enquiry doesn't define an attendee marketing campaign, and a branded photo strip doesn't automatically include one.
For the same reason, settle any plans to publish guest photos before the event. Tell us how you expect to use the images and have your organisation confirm its own permissions process. The booth can provide an activity and photographs; your communications team should decide what it has approval to post.
Keep the staff Christmas party simple
A Christmas party usually needs less branding than a product launch. The company name, year and a light festive design may be enough. Choose a backdrop that fits the room, whether that's Christmas Sweater from our collection or a simpler sequin or plain option.
Open the booth during the part of the night when people can leave their seats. If there are awards or speeches, include those times in the brief. An announcement after the formalities can help guests remember there is time for a team photo before they leave.

Measure something you can use
Choose measures that match your original purpose. For a staff party, organiser feedback and whether teams had time to join in may be enough. At a sponsor activation, you may want to agree what reporting is possible before booking, such as a record of the event output or an agreed handover of opt-in information.
A photo booth cannot promise sales, social reach or a particular number of qualified leads. Avoid building the budget around a result you haven't defined or arranged to measure. If a campaign depends on a specific metric, put that requirement in the brief so feasibility can be discussed.
After the event, note any practical lessons while they're fresh. Was the position easy to find? Did the busiest period match the chosen hours? Did artwork approval take longer than expected? Those answers are useful when the next event comes around.
Confirm the booking and handover
Once availability and the quote are confirmed, a booking contract records the details. A 25% deposit confirms the booking and the balance is due one week before the event. Tell us about purchase orders or accounts payable requirements at the enquiry stage so the paperwork can be organised.
