A conference photo booth needs to work with the agenda. Delegates may have only a short break between sessions, and they are also trying to get coffee, find colleagues and move to the next room. Position and operating hours matter as much as the printed design.

Choose the part of the conference the booth will serve
Decide whether the booth belongs at registration, in an exhibition area, during meal breaks or at the networking reception. Each gives delegates a different amount of time and a different reason to join in.
A networking reception may allow relaxed group photos. A short morning break needs a more direct activity. If the booth is intended to support a sponsor, explain the sponsor's role and how its staff will interact with delegates.
Give the supplier the agenda and expected attendance. A statement that the conference runs from 9 am to 5 pm doesn't show when the booth will be busy or whether there are long periods with little activity.
Plan for queues during breaks
Photo sessions take time to start, pose and finish. Groups vary, and some delegates need more help than others. Avoid building a plan on the assumption that every attendee can visit during one short break.
If the agenda allows it, spread access across several opportunities. Mention the booth in the event information so people know where to find it, and give them the closing time before the final break.
The attendant manages the booth. The organiser should still consider the wider queue: where it sits, whether it blocks a session entrance and what happens when the next presentation is about to start.
Use the floor plan to test the location
Allow roughly 3 m by 3 m for the setup, with a standard power point nearby and additional room for guests. Put the booth on the same floor plan as registration, catering and sponsor stands.
A booth near refreshments may be easy to notice but compete for space with the coffee queue. A quieter corner can offer more room but needs clear directions. Walk through the likely route delegates will take during a break before choosing.
Check access for people using mobility aids and leave a clear route through the area. If the event has a separate networking room, confirm whether the booth will stay in one place or whether any move needs to be quoted and scheduled.
Keep sponsor artwork legible
Start with the event identity and the main sponsor requirement. A small strip cannot give a long list of logos equal prominence without reducing their readability.

Separate the photo activity from marketing permissions
If email capture is part of the brief, discuss the practical setup, consent wording and data handover before the conference. Name the person in your organisation responsible for that process.
Make it clear to delegates what information is being requested and why. A guest receiving a digital photo should be able to understand whether a separate marketing choice is involved.
Also agree who may use the images after the event. The event organiser, venue and sponsors may have different communication plans. Those plans need a clear permissions process before people start reposting pictures.
Confirm access and operating arrangements
Tell us the supplier access window, loading arrangements and any venue documentation requirements. Conference venues may coordinate several exhibitors using the same entry point, so include the instructions in the brief.
Standard packages start at $449 for two hours. Multi-day hire, extended access or a schedule with significant gaps should be discussed for a tailored quote. Travel beyond 15 km of central Geelong is quoted after enquiry.
Agree what happens during any planned downtime and who the attendant should contact if the agenda changes. A named organiser is more useful than a general event inbox when a session runs late.
Ask for the reporting you need beforehand
If your team expects a particular handover or measure of activity, include it before booking so we can confirm what is feasible. Don't assume a photo booth provides sales attribution or a complete record of delegate engagement.
